NYN Area Job Descriptions
Alternate Delegate
Elected to work closely with the World Service Delegate, to participate in Area activities to replace the Delegate if he/she cannot fulfill his/her three-year term. He/she must be prepared to assume duties of Delegate, if necessary. He/she should not take on any other Area office. He/she must be willing to participate.
RESPONSIBILITIES:
- Be familiar with guidelines listed in the Al-Anon/Alateen Service Manual, page 134.
- Attend all AWSC and Assembly meetings.
- Keep well informed on all issues.
- Cooperate fully with current Delegate sharing and learning at every level.
- Be the FORUM contact person for WSO in the NYN Area.
- Write a monthly article for Northern Hi Lights.
- Meets with Registrar's of the Action Committee after each meeting that is held and review notes to keep from having duplication of reports to be given at AWSC Meeting and Assembly.
- Participate in GR orientation at Fall Assemblies.
SUGGESTIONS:
- Write letter of welcome to new groups in the Assembly. Send a past issue of the FORUM and subscription form with Welcome Letter.
- Become Area "expert" of Concepts: give workshops on same, perhaps at Fall Assemblies or at District/AIS levels.
World Service Delegate
The Delegate shares Area experience at three annual Conferences that serve Al-Anon worldwide. He/she brings the views and spirit of worldwide Al-Anon to his/her Area and represents the Area worldwide. He/she must be thoroughly familiar with the service manual.
RESPONSIBILITIES:
- Present a concise World Service conference report at Spring Assemblies and a verbal report at all AWSC & Fall Assemblies. (Provide a written copy to the Area Secretary and Web Coordinator))
- Be familiar with the guidelines in the Al-Anon/Alateen Service Manual pages 152-153.
- Attend all AWSC and Assembly meetings.
- Attend NERD (North East Regional Delegates) meeting.
- Keep Alternate Delegate informed where relevant.
- Keep WSO informed of Area Officers, Coordinators, and DRs using the form from WSO.
- Keep Coordinators informed of communications from WSO via e-communitites.
- Respond to speaking requests, panels, district meetings, etc. whenever possible.
- Ask to be placed on mailing list for District and AIS meeting minutes so as to keep abreast of various activities.
- Write monthly article for Northern Hi Lights.
- Fulfill WSO assigned committee requirements to the best of his/her ability.
- Make Area members aware of the information available on the WSO member web site.
- Attend NYNAC each year.
- The Delegate will float among all the Action Committees to provide information, participate in discussions, and in general, use his/her knowledge to assist the work of the committee.
- The Delegate will assist the treasurer when there is a question regarding reimbursement.
Chairperson
Should have knowledge of Traditions and Concepts. Be familiar with the Al-Anon/Alateen Service Manual and New York North procedures. Should have leadership and organizational abilities. Knowledge of parliamentary procedures necessary to preserve order at meetings.
RESPONSIBILITIES:
- Call all meetings of AWSC and Assemblies (with Delegate’s input).
- Set up date and location for March and August AWSC meetings.
- Give this information to the Newsletter Coordinator and the Website Coordinator.
- Send out reminder postcards for March and August AWSC meetings with preliminary agenda to all AWSC members. (Officers, Coordinators, DRs, AIS Reps, Ad Hoc Committee Chairs, Past Delegates and Past Trustees)
- Attend all AWSC and Assembly meetings.
- Be familiar with “Duties of Assembly Members” pg.147-155 of the Al-Anon /Alateen Service Manual.
- Preside at all AWSC and Assembly meetings:
- Prepare agenda (with input from Delegate) and provide copies of the agenda and other pertinent hand-outs necessary to run the assembly meeting and Action Committees including the needed hand-outs for those committees.
- With the AWSC, prepare the voting items.
- Call roll and maintain order.
- Prepare the mailbox for AWSC members and fill with needed paperwork.** Reminder to all submitting reports (submit to Area Secretary and Website Coordinator by email, if possible. Hard copies of agenda are sent to those who do not have email. Each report should have 5 hard copies available at AWSC and Assembly meetings. Others are asked to print their own copies from website.)
- Bring and post Banners at all AWSC and Assembly/Convention meetings.
- Provide a timer for two minute time limit at the microphones. (Alt. Delegate will be the timer)
- Establish committees and chairpeople for such, as needed.
- Act as a second-party signer on all checks issued by the New York North treasurer.
- Member of the Website Committee.
- For Website continuity, passwords and access to the back-end of the website are shared with Area Chairperson and Website Coordinator. Written approval from both parties are required before changing the web hosting provider. (After obtaining consent of the Website Committee.)
- Write monthly articles for the Area newsletter- Northern Hi Lights.
- Keep an up-to-date notebook with policies and procedures voted upon by the Assembly and distribute copies to AWSC members regularly in cooperation with the Secretary.
- Have regular interaction/communication with Action Committee Chairpeople and as Area Chairperson will be a member of the Membership Outreach Action Committee.
- Organize the reconfiguration of Action Committees every three years, at the time the Election Assembly.
- Bring “ASK-IT-BASKET” to Assemblies / Provide time for answering questions in the afternoon.
- Participate in the new Group Representatives meeting.
Immediate Past Delegate
There is no stated guidelines in the Al-Anon/Alateen Service Manual.
RESPONSIBILITIES:
- Attend all AWSC, Assemblies and special meetings called by the Area Chairperson.
- Prepare for and administer a new Group Rep (GR) orientation and information meeting usually held at 8:00 A.M. on the Saturday of Assembly/Convention weekends. Include what to expect at their first Assembly as a GR and provide a number of hand-outs you prepare for the meeting. In addition invite and introduce Area Officers and allow them a short time to extend their welcome and any other comments they feel are appropriate. Finally answer any questions they might have and assure them that this service journey will be very beneficial to their program development.
- Attend Northeast Regional Delegate's (NERD) meeting the first year with Area Delegate at Area expense and additional years if active in NY North Area Level of Service.
- Participate in Area ad hoc committees on a number of topics and spend some time during the Action Committee's to visit each meeting and be involved in the discussions and deliberations. In both aforementioned items your purpose is to share your experience, strength and hope as well as any specifics you may have some background knowledge with as a result of your interacting and participating in WSO meetings while a delegate and/or NERD meetings since then.
SUGGESTIONS:
- Recommend that the out-going Delegate not stand for any office since recovery time may be needed.
- Could share a "Did You Know?" column in Northern Hi Lights, using information from Ask-It-Basket questions in our service manual, etc.
- Chair Area Coordinator orientation meetings.
COMMENTS:
- Should be considered an officer of the Assembly and AWSC.
- Clarification of participation at AWSC and Assembly at AWSC the IPD has both voice and vote; at Assembly the IPD has voice and no vote.
Secretary
Skills in taking minutes and typing are helpful. Follow guidelines for secretary as set forth in the Al-Anon/
Alateen Service Manuel.
RESPONSIBILITIES:
- Attend all AWSC and Assembly meetings.
- Take minutes of these meetings.
- Type and give copies of minutes to Web Coordinator to post on website. Also have 5 copies of
minutes made to bring to AWSC and Assemblies for those not able to download minutes from
web.
- The secretary should receive all Action Committee Reports within 2 weeks of the meeting and
then make them available on website.
- Secretary will report highlights of the Assembly Meeting in the next Northern Highlights
after the meeting and would supply a full set of minutes at the next AWSC or Assembly
meeting.(Posted on website)
- Maintain a notebook containing all minutes of AWSC and Assembly meetings to pass on to
succeeding secretaries. All Officer and Coordinator’s reports and copies of minutes are kept on
thumb drive.
- Read minutes at all meetings: keep corrected copies of these minutes.
- Keep an up-to-date notebook with policies & procedures voted upon by Assembly and distribute
copies to AWSC members regularly. (posted on website)
- Present a workshop once during term that explains job duties.
- Attend NYNAC at least once during term.
- Participate as a member of the Membership Outreach Action Committee.
- Keep receipts, records of expenses for reimbursements from NY North Treasurer. If cash
advance is needed for photocopies make arrangements with treasurer.
COMMENTS:
It is helpful to have Officers and Coordinators send their reports to you electronically. Otherwise need to
scan or retype reports. Can be done via email.
Treasurer
Basic knowledge of bookkeeping and accounting skills and have experience in some capacity other than Group Treasurer Must be honest, organized and keep good neat records.
RESPONSIBILITIES:
- Be familiar with guidelines as set forth in Al-Anon/Alateen Service Manual, page 132.
- Attend all AWSC and Assembly meetings.
- Present verbal report at Assembly meetings; written report to Assembly Secretary.
- Submit New York North budget at each Fall Assembly.
- Issue checks to coordinators and officers as needed.
- Receive contributions and subscriptions to Northern Hi lights from groups and
proceeds from conventions. Record all transactions.
- Arrange for an annual compilation and IRS Form 990 report by an outside auditor,
approved by Assembly Officers.
- Each month submit list of all group donations and monthly financial statement to
be published in area newsletter.
- In January of each year, publish suggested guidelines for group treasurers in area
newsletter. including name, and address of Area Treasurer
- Implement Convention Fund Guidelines.
- Will participate as a member of the Action Committee assigned to by Chairperson.
SUGGESTIONS:
- To facilitate change of Treasurer's name/address Upon election of same, a copy of the
Suggested Group Financial Reminder form, along with the name/address of new
treasurer be sent to each GR/contact but marked for attention of group treasurer.
- To facilitate transition of funds to new Treasurer.
- 50% of current funds be turned over to new Treasurer to start new account and carry
out procedures
- Id and new agree on cut-off date to close out old account. allowing time for checks to
clear. Do this ASAP.
- Ask each officer and coordinator for expenses and budget data.
- Arrange with all Area Officers to be authorized to be co-signers on the checking account.
Note all Checks require two signatures.
- Send a annual or semiannual Appeal letter to the groups using Northern Hi-Lights and
including a return envelope to the Treasurer at a time not to conflict with WSO Quarterly
Appeal letter
- Use simplified spreadsheet so members can easily see current fiscal position. This is
especially important for Convention and Assembly reporting.
- Treasurer should participate with the Past Delegate or whoever is giving the New GR
presentation at the Convention and Assembly
- Coordinate reservations for Area Trusted Servants for Area Assemblies
Alateen Coordinator
Be familiar with G-24, Guidelines for Area Alateen Coordinators. Experience as an Alateen Sponsor is helpful.
RESPONSIBILITIES:
- Attend Area World Service Committee meetings.
- Attend Area Assembly meetings.
- Present verbal report at Assembly meetings; written report to Assembly Secretary.
- Keep receipts/records of expenses for reimbursement from New York North Treasurer.
- Write monthly article for Northern Hi LIghts area newsletter.
- Attend the Area Alateen Convention (NYNAC) every year.
- Answer and follow-though on correspondence.
- Cooperate with NYNAC Coordinator and NYNAC Host Committee.
- Keep in touch with Alateen groups/sponsors in New York North
- Conduct a service workshop or presentation relative to position once during the 3-year term.
- Coordinate with new groups in the Registration process making sure that they and the Sponsors are registered with WSO. This job will have to be done on a yearly basis
- Coordinate with Al-Anon Members Involved in Alateen Service and help to have all Officers, Coordinator, and interested Al-Anon members registered with WSO.
SUGGESTIONS:
- Coordinate a person interested in Alateen service at each Convention and Assembly. This is usually done on a Sunday morning.
- Put on workshops for Alateen sponsors at Area, District, and/or AIS level in New York North.
Archives Coordinator
Be familiar with G-30, Guidelines for Area Archives Coordinator. It is helpful to have an interest in history and research.
RESPONSIBILITIES:
- Attend Area World Service Committee meetings.
- Attend Area Assembly meetings.
- Present verbal report at Assembly meetings; written report to Assembly Secretary.
- Keep receipts/records of expenses for reimbursement from New York North Treasurer.
- Write monthly article for Northern Hi LIghts area newsletter.
- Collect and preserve the heritage of Al-Anon/Alateen past in the New York North Area.
- Work closely with the World Service Committee.
- Request permission from member(s) prior to picture-taking at AFG Assembly.
- The Archivist ONLY will take pictures to be shared at Area functions.
- Conduct a service workshop or presentation relative to position once during 3-year term.
- Participate as a member of the Action Committee Coordinator is assigned to, give a report to Action Committee.
SUGGESTIONS:
- More publicity be given to encourage participation at the level of groups, districts, and AIS within the Area.
- Cooperation with and good communication among all Area Coordinators and Officers to contribute to the Archives.
- User of tape recordings at District/Group level to interview long-term members.
- Prepare a display of "historical" memorabilia for Assemblies.
- Share ideas and projects from Area Highlights
Convention Coordinator
Be familiar with G-20, Guidelines for Al-anon/Alateen Area Conventions Responsibilities.
- Attend all AWSC meetings. 4/year
- Attend area fall assembly and area spring assembly/convention each year.
- Attend and participate as a member of the membership outreach action committee.
- Prepare and send a report to the area secretary and area web coordinator at least 2 weeks prior to each AWSC meeting. This report will be posted on the area website for district and group representatives to read/print.
- Present verbally a 2 minute “hot topic” at the AWSC meetings and the fall and spring assemblies. Be prepared to answer questions from the membership.
- Keep and turn in receipts and records of ALL expenses to the area treasurer for reimbursement. If you don’t want to be reimbursed for something, still turn in the receipt/record and then you can choose to donate that money back to the area treasurer. We need to know the true/full cost of this position.
- Write articles for the Northern Hi-Lights newsletter. 10-12/year
- Attend 1 NYNAC held at Watson Homestead.
- Communicate with the host committee chair people continuously throughout their planning. Answer questions, provide information and assist in solving problems as they arise.
- Provide copies of How to plan a convention to all host committees. Also, keep a list of possible problems/suggestions for above document so that an ad-hoc committee can update above document.
- Contact and make aware the area delegate or area chairperson of host committees progress and problems.
- Inform host committees of making arrangements for needed equipment. The area has a complete sound system available. It is kept at the Syracuse AIS.
- Inform host chairperson and program chair of the assembly’s agenda and timeline.
- Conduct 1 “this is what I do” presentation relative to position.
Group Records Coordinator
Basic knowledge of computers to perform the job.
RESPONSIBILITIES:
- Attend Area World Service Committee meetings.
- Attend Area Assembly meetings.
- Present verbal report at Assembly meetings; written report to Assembly Secretary.
- Keep receipts/records of expenses for reimbursement from New York North Treasurer.
- Write monthly article for Northern Hi LIghts area newsletter.
- Maintain an up-to-date database of Al-Anon and Alateen groups, Group Representatives, District Representatives, AIS Representatives, Coordinators, Officers and Coordinators of New York North Area Assembly, Alateen Sponsors and Al-Anon Member involved w/Alateen.
- Reconcile semi-annual report from WSO Groups Records Office of all groups registered in Area 39 with the current database.
- Publish a yearly directory of this information for use by District Representatives, Area Officers and Area Coordinators.
- Provide mailing labels to Northern Hi Lights editor to use for mailings.
- At direction of the Delegate, respond to WSO requests for Area group information.
- Keep an up-to-date map of New York North districts.
- Keep an up-to-date record of all Northern Hi Lights subscriptions.
- Conduct a service workshop or presentation relative to position once during the 3-year term.
- Participate as a member of the Action Committee assigned to.
- Attend one NYNAC Convention during 3-year term of service.
- Forward all changes from Area Groups to the WSO Group Records Office
SUGGESTIONS:
- Provide mailing labels for officers, coordinators and/or committees as needed.
- Prepare and distribute periodic updates between Directory issues.
Literature Coordinator
Be familiar with G-6. Guidelines for Area Literature Coordinators. Be familiar with pages 99
through 106 of the Al-Anon/Alateen Service Manual.
RESPONSIBILITIES:
- Attend Area World Service Committee meetings
- Attend Area Assembly meetings.
- Attend NYNAC once during three-year term.
- Present verbal up-dated hot topic report at AWSC and Assembly meetings,
with full report to Area Secretary and Home Page Coordinator two weeks in advance for posting on the
NYN website. Bring 5 copies of full report to the meetings.
- Keep receipts/records of expenses for reimbursement from New York
North Area Treasurer
- Write monthly article for Northern Hi Lights.
- Encourage all members in the area to learn about CAL process and be familiar with
current available material.
- Conduct a service workshop or presentation relative to position once during three year
Term
- Participate as a member of the Action Committee assigned to by Chairman.
- Keep receipts/records of expenses for reimbursement from NYNorth Treasurer.
- Keep CAL display up to date and make available at all
Area conventions/assemblies and district functions where requested
.
- Communicate with other area officers and coordinators as needed.
- Participate in all WSO conference calls and use e-communities for all information
provided by the WSO.
- Have Home Page coordinator post any new materials that WSO provides for use
of CAL such as workshops or skits and make copies available at all assemblies/conventions.
SUGGESTIONS:
- Greater interaction including workshops among the Districts in the New York
North Area with more opportunities to speak at same about CAL and possibly present
a skit at an assembly/convention.
Newsletter Coordinator
Be familiar with G-21, Guidelines for Area Newsletter. Should have basic skills in written communication.
RESPONSIBILITIES:
- Attend Area World Service Committee meetings
- Attend Area Assembly meetings.
- Present verbal up-dated hot topic report at AWSC and Assembly meetings,
with full report to Area Secretary and Web Coordinator two weeks in advance for posting on the
NYN website. Bring 5 copies of full report to the meetings for those without internet access.
- Reports at AWSC and Assembly meetings will follow the 2-minute at the microphone rule on a "hot topic".
- Will participate as a member of the Action Committee that Coordinator is assigned to, give report to Action Committee.
- Publish and edit monthly newsletter (a monthly issue with January/February combined and July/August combined for a total of 10 newsletter a year.) Use proof readers to help edit.
- Be familiar with Microsoft Publisher or other newsletter publishing application (Microsoft Publisher used at this time).
- Email finished Newsletter, using our New York North Listserv list, to members requesting an electronic copy of Newsletter.
- Send finished Newsletter via email to printing company, (if Coordinator chooses to use a printing company) to:
- Print Newsletter and Mailing labels
- Fold
- Collate
- Mail US non-profit automated bulk rate
- Edit out all personal information and e-mail a copy of the newsletter (PDF file) to a proof reader to check for personal information. Send final Web Version to the New York Web Coordinator for posting online to the New York North Webpage.
- Scan or copy invoices for record keeping and then mail invoice to New York North Area Treasurer for payment.
- Cooperate with Group Records Coordinator, this position emails address labels to printing company.
- Remind Area Coordinators and Officers to write articles on tenth of month for articles due the fifteenth of the month.
- Exchange newsletters with other area and communicate with other Newsletter Coordinators via Yahoo Newsletter Editor Group.
- Conduct a service workshop or presentation relative to position once during the 3-year term.
- Give New York North Archivist a CD each year of Newsletters.
- Make sure each newsletter is backed up in more than one location.
- Member of the NYN Web Committee.
SUGGESTIONS:
- Include any WSO Summary or exchange newsletter material in Northern Highlights when applicable and space is available.
- Encourage sharing by DR's regarding District news/activities.
- A committee may be formed, if necessary, to assist with the above duties.
New York North Alateen Convention (NYNAC) Coordinator
Basic knowledge of bookkeeping and accounting skills helpful. Must be honest, organized, and keep good, neat records. Should become familiar with G-20, Guidelines for Al-Anon/Alateen Area Conventions. Be familiar with NYNAC Guidelines. Experience as an Alateen sponsor is recommended.
RESPONSIBILITIES:
- Act as liaison between the New York North Area Assembly, the NYNAC host committee, and the convention facility. Answer questions, provide assistance, keep Delegate and Chairman well informed of any problems that may arise. Set up committees for assistance.
- Maintain the financial records for NYNAC. This includes receiving registration fees, paying major convention expenses, and maintaining accurate records which clearly show attendance numbers, income, and expenses.
- Submit complete report to the Area Treasurer by March 1st following each year's convention. Return excess funds to the Treasurer with this report. Cooperate with the Area Treasurer for annual compilation of financial records, by an outside auditor if necessary.
- Arrange with the Area Treasurer for co-signing of checks. Checks must be singed by two parties.
- Attend Area World Service Committee meetings.
- Attend Area Assembly meetings.
- Present verbal up-dated summary report at AWSC and Assembly meetings, written report of same to Assembly Secretary.
- Write monthly article for Northern Hi Lights area newsletter.
- Ensure that the NYNAC scrapbook ideas, suggestions, etc is updated and passed on to each succeeding host committee.
- Conduct a service workshop or presentation relative to position once during the 3-year term.
- Participate as an active member and give report regarding NYNAC to the Action Committee assigned to.
SUGGESTION:
- The coordinator and the host committee sponsor cooperate to facilitate room assignments and other necessary duties.
- The incoming NYNAC Coordinator attend NYNAC with the outgoing Coordinator during the election year at the Area's expense.
Public Information Coordinator
Be familiar with G-26, Guidelines For An Area Institutions Coordinator. Be familiar with G-9, G-14, and G-22 - Guidelines for an Area PI/PCP Coordinator. Own and use the Al-Anon/Alateen Service Manual (P24-27). Refer to pages 62, 67. 88-93, and 128-129. Be familiar with the publication "Pebble in the Pond".
DEFINITIONS:
- Institutions aids members in the formation of Al-Anon/Alateen groups in facilities such as hospitals, prisons, juvenile homes, etc. The meeting format followed serves as an introduction to the Al-Anon program and at the same time encourages newcomers to attend meetings close to their homes. (G-29)
- Public information carries the message directly to the general public VIA the media, participating at health fairs and other public functions. (G-29) CPC carries the Al-Anon message to those professionals who are in contact with the family members. (G-29)
RESPONSIBILITIES:
- Attend Area World Service Committee (AWSC) meetings.
- Attend Area Assembly meetings.
- Present verbal update summary report at AWSC and Assembly meetings, written report of it to Assembly Secretary.
- Keep receipts/records of expenses for reimbursement from New York North Area Treasurer.
- Write monthly article for Northern Hi LIghts.
- Set up plan to initiate and implement Public Information/Institutions projects, through cooperation with AIS and/or Districts.
- Follow-up so that PI and CPC material is current and contacts maintained.
- Refer all correspondence from WSO to proper districts.
- Keep close communication and cooperation with Area Delegate, other Coordinators, Officers, Al-Anon/Alateen members, and AIS Centers to consolidate activities.
- Conduct a service workshop or presentation relative to position once during 3-year term.
- Will participate as a member of the Action Committee (previously Public Outreach) as assigned to.
SUGGESTIONS:
- Make his/her presence available to any group conducting a workshop or Day of Al-Anon on Public Information opportunities and possible projects.
- Set up workshops at AIS and District level throughout the Area.
- Participates as at Area Assembly level to inform the fellowship of opportunities in PUblic Information at the group level.
- Promote April as National Alcoholism Awareness Month, promote September as National Recovery Month and promote October as Al-Anon Institutions month. Also promote on May 4th ( Lois's Birthday) by accidentally forgetting a piece of literature in a Professional or doctor's Office.
- Write an article to be submitted to Area Hi LIghts and the Forum.
- Carry the Presence of Al-Anon: Take literature to institutions in vi sting rooms where Al-Anon meeting are not allowed.
- Encourage members to distribute literature in an office building where people go for help or advice.
Web Coordinator
Be familiar with pamphlet S-66, Frequently Asked Questions and Guidelines about Creating and Maintaining an Al-Anon/Alateen Website, from Al-Anon Family Group Headquarters, Inc. and the NYN Area Website Guidelines. Monitor the NYN website to ensure that its content falls within these suggested guidelines and adheres to the policies of the New York North Area Al-Anon Family Group.
RESPONSIBILITIES:
- Attend Area World Service Committee meetings.
- Attend Area Assembly meetings.
- Present verbal report at AWSC and Assembly meetings; written report to Assembly Secretary.
- Keep receipts/records of expenses for reimbursements for New York North Area Treasurer.
- Write monthly article for Northern Hi Lights.
- Establish good communication with NYN Website Committee and all other NYN Officers and Coordinators, DR’s, GR’ sand Al-Anon/Alateen members to facilitate placement of appropriate information on the NYN website.
- If utilized, maintain a close working relationship with the NYN Website Technical Assistant.
- Conduct a service workshop or presentation relative to the position once during the three year term.
- Attend and participate in Public Information Action Committee meetings and give a report.
SUGGESTIONS:
- Keep useful information, guidelines, procedures, etc., to be passed on to your successor.
